Students

Students are the primary user type within the application. They represent users who can apply to projects, case studies, or submit general applications to associations. Their profile is used to match them with relevant opportunities and to provide supervisors and programme coordinators with context when evaluating applications.

Students are registered through the standard signup process or via administrative creation. Depending on the registration flow, a student account may require approval before becoming active.


Profile Data

In addition to the default user data (such as name, email, and phone number), a student profile stores the following optional fields:

  • Biography — A free-text description of the student’s background and interests
  • S-number — Internal student identifier
  • Level — Academic level (e.g. Bachelor / Master, depending on configuration)
  • Study Programme — The programme the student is enrolled in

These fields are used to improve application matching and to provide evaluators with better context about the student.


Interests

Students can define a set of interests linked to their profile.

Each interest consists of:

  • Topic — The subject or field of interest
  • Experience — A description of the student’s background or experience with the topic

Interests are visible on the student’s profile and are intended to help supervisors and associations better understand a student’s skillset and focus areas.


Applications

Students can submit applications to:

  • Projects (hosted by supervisors)
  • Case Studies (managed by associations on behalf of companies)
  • General applications (not linked to a specific project or case study)

Each application contains:

  • Experience — Relevant background for the application
  • Motivation — Why the student is applying
  • Interest — The student’s interest in the opportunity/topic
  • Optional comments

An application also includes the student’s email address to enable direct contact between relevant parties.

Coordinator Interaction

Programme coordinators have a scoped view of student data. They can:

  • View students within their assigned programme and level
  • Access thesis-related applications involving those students
  • Review application timelines and progress across projects and case studies

This ensures coordinators only access data relevant to their academic oversight responsibilities.


Profile Access

Students can view and manage their own profile, including:

  • Editing personal and academic information
  • Managing interests
  • Viewing applications and their statuses
  • Tracking outcomes of submitted applications

Other roles may view student profiles depending on permission and scope restrictions, but editing rights remain limited to the student and system administrators.
